Program Assistant

A little about us…

CVFT is a nonprofit 501(c)(3) organization that works hard to protect the farms that feed your family.  We work closely with farmers whose lands may be considered for development, to help them place conservation easements that permanently protect the land from being paved over.  We also educate the general public and schoolchildren about the importance of conserving California’s unique, irreplaceable farmlands. Our team consists of a volunteer Board of Directors, several committees, and three full-time staff.

A little about the position…

This position is an expansion of a previously part-time administrative assistant position.  This is an entry level position with potential for increased program responsibility over time.  This position is responsible for:

  • General office administration (phones, filing, processing mail, etc.)
  • Managing easement files and records in accordance with specific requirements
  • Assisting in relationship development with property owners
  • Assisting in easement monitoring and stewardship efforts
  • Coordinating and managing volunteers
  • Assisting in event planning and production
  • Assisting in communications efforts (social media, newsletter publication)
  • Helping to execute fundraising campaigns
  • Organizing board and committee meeting, preparing agendas, and taking minutes
  • Data entry and report preparation using donor management software
  • Communicating with and interviewing farmers, and providing basic information on conservation easements
  • Assisting in tracking easement project status and deliverables

A little about the ideal person…

If you have strong communication and technology skills, the ability to work independently, and a pleasant professionalism, we’d like to see your resume!  Because our team is small, this position requires a person who is flexible and adaptable, and just wants to get the job done.  A penchant for organization and follow-up is a must.  A few qualifications that are not required, but will give candidates an edge:

  • An Associate’s Degree or greater in communications, agricultural business, business administration, marketing, project management, or similar field
  • Experience or education related to agriculture or with a land trust
  • Experience at a nonprofit organization, especially using DonorPerfect software
  • Professional experience with project management, communications, and/or marketing

The nitty-gritty…

Job Duties

General Administration

  • Answer phones
  • Open mail
  • Process incoming checks and make bank deposits
  • Manage corporate records and filing system
  • Order supplies

Donor Management

  • Record donations in DonorPerfect
  • Run pre-set reports in DonorPerfect
  • Create mailing lists using DonorPerfect


  • Identify potential locations, caterers, and other suppliers for events
  • Assist in creating and distributing event invitations
  • Set up, host, and clean up at events
  • Prepare collateral items as needed


  • Assist with ongoing social media efforts
  • Assist in preparation of newsletter, e-news, annual report, and other written collateral
  • Proofread outgoing communications


  • Schedule committee and board meetings
  • Prepare meeting agendas
  • Prepare meeting minutes
  • Coordinate and manage volunteers
  • Distribute reports and other documentation to committees, board, easement holders, and others as needed


  • Create and maintain easement files compliant with legal and accreditation requirements
  • Prepare documents and related files for annual monitoring visits, in accordance with accreditation requirements
  • Annually interview farmers regarding property status
  • Assist project manager and team in tracking project status and deliverables
